Photographer Guidelines/ Videographer Standards

As an LTP Photographer, you are expected to: Represent Let’s Talk Pageants professionally. Wear appropriate attire and credentials. Treat contestants, directors, volunteers, sponsors, and audience members with courtesy. Respect venue rules and media restrictions. Follow all event instructions from organizers. Never interfere with the event to obtain a photograph. Photography Standards Photographs should be: ✔ Well composed ✔ Properly exposed ✔ In focus ✔ High resolution ✔ Free from distracting watermarks ✔ Edited only for basic color correction, exposure, cropping, and sharpening Photographs should never be manipulated in a way that changes what actually occurred. Required Coverage Whenever possible, photographers should capture: Venue Registration Opening ceremony Contestants Judges (when permitted) Stage competition Awards Crowning moments Audience engagement Behind-the-scenes moments (with permission) Community interactions Volunteers Sponsors Closing celebration Respecting Privacy Always respect: Dressing rooms Private conversations Restricted backstage areas Medical emergencies Emotional moments where photography would be inappropriate Permission should always be obtained before photographing minors outside of official event coverage. Image Editing Acceptable edits include: Cropping Straightening Exposure adjustment Color correction White balance Noise reduction Unacceptable edits include: Altering body shape Removing individuals Adding individuals AI-generated modifications Changing backgrounds Creating misleading images Authenticity is essential to preserving pageant history. File Naming Submit photographs using the following format: Organization_Event_Date_Photographer_LastName_001.jpg Example: LTP_AwardsGala_2026_Riollano_001.jpg Submission Deadline Unless otherwise assigned: Breaking News — Within 2 hours Major Events — Within 24 hours Feature Galleries — Within 72 hours Copyright Photographers retain copyright to their original work unless otherwise agreed in writing. By submitting photographs to Let’s Talk Pageants, contributors grant LTP a non-exclusive license to publish, promote, archive, and preserve submitted content in accordance with the Contributor Agreement. Professional Conduct Photographers should never: Ask contestants to recreate emotional moments. Interrupt ceremonies. Enter restricted areas without permission. Sell photographs taken on assignment without approval. Misrepresent themselves as official event staff unless authorized. The LTP Standard At Let’s Talk Pageants, photographs are more than images. They become part of our community’s permanent history. Every photograph should tell the story with honesty, dignity, and excellence. Professional Expectations LTP videographers shall: Represent Let’s Talk Pageants professionally. Wear official credentials whenever required. Dress appropriately for the event. Follow venue and event policies. Respect contestants, directors, volunteers, sponsors, and audience members. Work cooperatively with photographers, event staff, and other media. Coverage Expectations When assigned, videographers should strive to capture: Venue establishing shots Registration and check-in Opening ceremonies Contestant introductions Competition highlights Talent performances (when permitted) Awards presentations Crowning moments Audience reactions Sponsor recognition Behind-the-scenes moments (with permission) Interviews Community interactions Closing ceremonies Video Quality Standards Whenever possible, videos should be: Recorded in HD (1080p minimum) Properly stabilized Properly exposed Clear and in focus Free of excessive camera shake Recorded with clean, understandable audio Audio Standards Whenever possible: Use an external microphone. Minimize background noise. Monitor audio levels before recording. Record in a quiet environment during interviews. Poor audio often makes otherwise excellent footage unusable. Interview Recording Standards During interviews: Frame subjects professionally. Maintain eye-level composition. Avoid distracting backgrounds. Allow subjects to finish speaking. Do not interrupt unless necessary. Record room tone when practical. Editing Standards Acceptable edits include: Color correction Exposure adjustment Audio balancing Titles Lower thirds Intro/outro graphics Music licensed for use Unacceptable edits include: Misrepresenting events Altering statements through deceptive editing Adding misleading effects Using copyrighted music without permission AI-generated modifications that change the factual nature of the footage File Naming Use the following format: Organization_Event_Date_LastName_Video01.mp4 Example: LTP_Awards_2026_Riollano_Video01.mp4 Submission Deadlines Breaking News Within 2 hours Highlight Reel Within 24 hours Feature Video Within 72 hours Long-form Interview Within 5 business days Copyright Videographers retain copyright to their original footage unless otherwise agreed. By submitting footage to Let’s Talk Pageants, contributors grant LTP a non-exclusive license to publish, archive, edit, promote, and preserve the content in accordance with the Contributor Agreement. Professional Conduct Videographers shall never: Stage emotional moments Ask contestants to recreate reactions Interrupt ceremonies Enter restricted areas without authorization Misrepresent themselves as event staff Publish assignment footage independently before LTP unless authorized The LTP Standard Our videos should educate, celebrate, and preserve the pageant community.
